Managing the Meeting Assistant during a live Conversation

Overview

Once the Meeting Assistant (MA) has joined a Zoom or Google Meet conversation, users have control over its recording behavior and can manage its presence in the meeting. This guide explains how to:

✅ Start or pause recording manually
✅ Identify the visual states of the MA (recording vs. not recording)
✅ Remove the Meeting Assistant from a live conversation

These controls ensure users can comply with recording preferences, manage privacy concerns, and optimize coaching insights during live conversations.

Controlling Meeting Assistant Recording

The Meeting Assistant recording behavior depends on your organization’s settings:

  • If auto-recording is enabled, the MA will begin recording as soon as it joins the meeting.
  • If manual recording is required, users must start recording manually through the Moments™ application.
  • Users can pause and resume recording at any time using the Moments™ application.

How to Start or Pause Recording

  1. Open the Moments™ application.
  2. Locate the Meeting Assistant Controls section.
  3. If recording is active, click “Pause Recording” to temporarily stop it.
  4. If recording is not started, click “Start Recording” to begin capturing the conversation.
  5. if recording has previously been active but is paused, click 'Resume Recording" to resume recording.

📌 Note: Pausing recording does not remove the MA from the meeting—it simply stops capturing audio and video.

Removing the Meeting Assistant from a Live Meeting

If you no longer want the Meeting Assistant in a conversation, you can remove it at any time.

How to Remove the Meeting Assistant

  1. Open the Moments™ application.
  2. Locate the Meeting Assistant Controls section.
  3. Click "Remove from Meeting" to remove the MA immediately.

Once you have removed the meeting assistant, you can close out the conversation by selecting the "Done and Save" button.
