New Email/Calendar Integration Onboarding for Admins

We're excited to announce an upgrade to our email and calendar integration system. This update brings several benefits to enhance your experience with our platform.

What’s Changing

This upgraded integration system is available now to all customers. Users setting up email/calendar connections will automatically be directed to the improved connector system.

We plan to deprecate the older integration services on February 28th, 2025. This gives you plenty of time to prepare for the upgrade and ensure there is no disruption for your connected users.

In the following sections, we’ll dive deeper into the specific enhancements and how you can prepare your team for these improvements.

Who's Impacted

If users haven't reconnected by February 28th, 2025, they will be automatically disconnected and must reconnect to continue using the following features:

  • Guided Selling users: Any automatic email actions scheduled to trigger while the account is disconnected will be converted to a manual action. These actions can then be sent from the Engage tab after the user connects their email.
  • Conversation AI users: Generative AI email drafts will not be added to a user’s draft folder while their email is disconnected.
  • Calendar Users: Meeting links and Scheduler pages will be unavailable while the user’s email/calendar is disconnected.

Benefits

For Office365 users, the main advantage is a direct integration with Microsoft's Graph API, which offers more granular permission scopes and enhances response speed and reliability.

Google and Office365 users will also benefit from:

  • Increased Reliability: This new version has been completely rebuilt from the ground up to take advantage of modern API frameworks and incorporates all of the lessons learned from previous iterations. The result is a more scalable, performant, and reliable system.

  • Improved Security: Direct synchronization with email and calendar services ensures instant access to your data without the need to sync and retain data.

  • Ultra-Fast Responses: API response times are on average 2.5x times faster, ensuring a more seamless user experience.

  • Bounce Detection: Advanced technology more accurately detects hard email bounces and improves email deliverability.

Preparing for These Changes

All users will need to remove and then reconnect their email accounts in order to be enabled for this new version. It’s not possible to migrate users from the old version to the new version automatically. Each user must re-authenticate and grant permission to our application via the upgraded integration.

Conversation AI Users that use generated email drafts should also complete these steps to avoid any disruption. The email integration is used to create drafts in the user's draft folder for ease of sending. Users that do not complete these steps will become disconnected after February 28th and email drafts will not populate until connected through the new integration.

Users that use the Calendar Booking feature should be aware that their scheduling page links will change. They may need to update their email signature, or other locations where these links are used.

Whitelisting/Approving Application

If your company restricts access to applications by default, your end-users may encounter messages similar to the ones below. You may need to confirm with your Google Workspace Admin or Office365 Admin that this new version is allowed. Please see the instructions linked below.

Google: "Google hasn't verified this app"

If your users are seeing a "Google hasn't verified this app" message, It's because your organization is configured to warn users when they try to access an application that hasn't been whitelisted or undergone additional verification by Google.

  • Users can proceed by clicking the "Advanced" link, then clicking Proceed.
  • Your Google Administrator can permanently dismiss the warning for the app by whitelisting it in Google Workspace Admin.

Office365: "Need Admin Approval"

If users see a "need admin approval" message, it indicates that your organization by default requires admin consent or an access policy in order to be granted access to the application.

Prepare Your Team for a Smooth Integration Upgrade:

  1. Test the new integration early by having a user disconnect and then reconnect their email. This helps to ensure your Google/Office365 Account is not blocking the new integration.
  2. Communicate and have your users complete the upgrade early. It takes just a few minutes to reconnect and it can be done at their leisure before the older integration services are deprecated.
  3. If you would like an export of users that have not migrated yet, please submit a request for this data to support@revenue.io

How Do You Know if the New Integration Is Working?

When setting up the new integration, users will see new permission screens:

When a user has successfully connected the new integration, you will see their Linked At status update to the current date, and their Sync State will be "RUNNING".

We're committed to making this transition as seamless as possible for all our customers. If you have any questions or concerns about these changes, please don't hesitate to reach out to our support team.
